Upper Chesapeake Youth Football LeagueDecember 11th, 2012 Meeting Minutes
Call to Order: 7:06pm Board Members/Programs in Attendance: Emmorton, Edgewood, Cecil County, Havre de Grace, Jarrettsville, Fallston, Greg Beaty, Bob Chubb, Bob Elliott,Tonya Berry, Duvowel Peeker, and Debbe Jones. Meeting Minutes for November were provided for all to review. Ian motioned to approve, Danny second minutes and all members in attendance approved minutes.
President Report:
Spoke to Sean Dowling regarding website. Sean is not willing to let go of site without some negotiation. Will let Bob Elliott explain further.
Rules matrix was approved last yr but never placed on web site. That will be corrected once details of site are confirmed.
Vice President of Rules:
Went over his rule change proposal for the upcoming season.
Treasurer Report:
Currently have $3710.10 in account
Suggested that all chairs should send in a list of players that have not yet turned in equipment.
Communications Director:
Spoke in regards to our current web site. Sean Dowling currently owns the Domain name and site design. Sean’s options to us are:
Option #1 Leave the site on the current host and the league assume the cost. The annual cost is $420. I will make the contact changes and provide the remote access account info. This cost includes the annual domain name renewal fees for ucyfl.com and ucyfl.net and the following; * Unlimited space and bandwidth *100 email accounts and email forwards with remote access *Unlimited MS SQL 2008 databases (200MB each) *ASP/§ ASP.Net/AJAX support *Plus a lot more *There would be no downtime for the site.
• Option #2 the league will establish their own hosting account. A transfer for the domain names would need to be initiated. I will provide a CD with the static site files that can be loaded to the new host. This will require a lot of work and a true webmaster to make all of the modifications. The site would be down for a while. For the League Management System (LMS), the code and process are owned by my company. I have discussed with my partners what options they are willing to accept for continued use of the system. They are not willing to sell the code as they plan on marketing this technology nationally next spring. They have developed a “Pay per Record” module that they are willing to discount to UCYFL. The planned rate that they are rolling this out next spring is $2.50 per record. They are willing to discount this by 50% ($1.25 per record). The calculation for payment is derived by the number of active players and coaches you enter into the system each season. For this past season, UCYFL had 2904 players and 948 coaches. This would have cost the league $4815.00. The league would be invoiced once you closed the rosters in August to ensure an accurate count.
All members voted No on any of Sean’s options. Bob will start working on our new site and will then be fully owned by UCYFL. All agreed to site name change to UCYFLOFMD.com
Old Business:
Email was sent out immediately after the championship games regarding a possible rule violation from 14U claiming Joppatowne to have a High School player. No follow up was ever given to the board regarding this email. All agreed that this should be investigated.
